Medical Administrator

Penns Personnel are looking to recruit an experienced Medical Administrator to code, record, action and refer all correspondence coming into a busy GP Practice. The successful candidate will ideally have a medical / clinic background in a similar role.

  • Checking for clinical correspondence received at the Surgery via post, facsimile or electronic mail. 
  • Receiving incoming clinical correspondence and distributing to GPs/clinicians via Workflow or as appropriate for further action. 
  • Inputting daily data from hospital letters prior to scanning of their diagnoses. 
  • Inputting daily data of cervical smear reports and creating an appropriate letter to the patient. 
  • Liaising with external agencies for clarification of information or to update on progress, this mainly involves communicating with local hospitals, clerical staff, laboratories and consultant secretaries. 
  • To ensure that all incoming and internal patient correspondence is stored on/in the patients’ medical record and relevant information is coded. 
  • To scan all paper incoming clinical correspondence/letters/patient correspondence. Categorise/Sort clinical correspondence according to the Workflow protocol:Paper documents to be scanned and saved to the patient record within EMIS.
  • Identify and prioritise where GP action required or query by sending an EMIS Note via Workflow to the GP. 

Essential Experience/Skills

  • A high level of concentration
  • Able to identify queries/issues/problems that need urgent attention
  • Excellent interpersonal and communication skills, with the ability to interact effectively with patients, colleagues, and external stakeholders. 
  • Strong organizational skills and the ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment. 
  • Proficiency in using practice management software, electronic medical records (EMR), and other relevant computer systems. 
  • Sound knowledge of medical terminology, procedures, and protocols related to general practice. 
  • Attention to detail and accuracy in handling patient records 
  • Ability to handle sensitive and confidential information with integrity and discretion. 

Hours and rate of Pay

15 Hours per week – can be made up flexibly to suit the candidate

Hourly Rate £11.50 – £12.00 per hour depending upon experience

The role is initially temporary for 3 months with the potential to become permanent.

This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service (formerly known as CRB) to check for any previous criminal convictions.
